Release notes for Boarding 3.15
Below is an overview of changes and new features introduced in this release of the FourVision Web App.
New features
Added an option to mass assign a guide template to multiple applicants with two tabs - 'Applicant without guides' and 'Applicant with guides' and added a filter & column option for Legal entities on the overview screens about the created guide
Added 'All activities' and 'My activities' screens that collect all the activities in guides and provide an overview of the Batch number, Location and Legal entity filters for applicants
Added the functionality for Email notifications and Due date reminders for the 'Tasks'
Changes and bugfixes to existing features:
Generic security updates, minor bug fixes and patches
Resolved the issue of the applicant hired from the Boarding web app cannot be hired again from the Request web app through the creation of the request
Resolved the issue of when the 'Personnel number' is already assigned to the applicant through the API in the Request web app then we are hiding the 'Hire' button for the applicant in the Boarding web app
Added a validation message while disabling the 'Upload attachment' toggle on the Activities if the attachments are already attached
Improved the issue of the selection is ignored while creating the guides for multiple applicants
Improved the response time while creating guides for multiple applicants

New feature 1: Added an option to mass assign a guide template to multiple applicants with two tabs - 'Applicant without guides' and 'Applicant with guides' and added a filter & column option for Legal entities on the overview screens about the created guide
With the user ‘Claire Kennedy’ (Manager), on the ‘Applicants’ screen
a) Added ‘Without guides’ and ‘With guides’ tabs
b) Under the ‘Without guides’ tab, applicants with no guide showing
c) The checkboxes added to select multiple applicants for the guide creation
d) Added ‘Legal entity’ column

Under the search bar, added the ‘Legal entity’ column option
Under the ‘+New’ button, added the ‘Create multiple guides’ option which allows the creation of multiple guides
Select multiple applicants and click on the ‘Create multiple guides’ option
Fill in the details in the ‘Create multiple guides’ dialog box and click on the ‘Next’ button
Fill in the template in the ‘Would you like to select a template?’ dialog box and click on the ‘Done’ button
Fill in the email template in the ‘Customize this email’ dialog box and click on the ‘Add’ button
Added the message ‘Multiple guides created successfully.’ and guides created for the selected applicants

a) Under the ‘With guides’ tab, the applicants with guides showing
b) Added ‘Legal entity’ and ‘Guide URL’ column
Added the hover text on the link icon of the link to the guide. Click on it
It redirects to the ‘Details’ screen of the created guide
Added the ‘Guide URL’ field with an icon and hover text of the link on the 'Edit Applicant' screen
On the 'Applicants' screen, select the applicants with the help of checkboxes and click on the ‘Create multiple guides’ option
Follow the same steps and the ‘Multiple guides created successfully.’ message appears and guides created for the selected applicants

Click on the ‘Send email’ icon for any of the guide

Note: a) When creating a guide for multiple applicants, the name of the applicant will not be visible in the email message.
b) If an applicant has more than one guide, the recently created guide's URL will be visible when hovering over the 'Guide URL' column. Clicking on it will redirect to the recently created guide.
New feature 2: Added 'All activities' and 'My activities' screens that collect all the activities in guides and provide an overview of the Batch number, Location and Legal entity filters for applicants
Added parent menu ‘Guide activities’ with ‘All activities’ and ‘My activities’ child menus. Click on the ‘All activities’ child menu
On the 'All activities' screen, all the activities of the created guides showing with the ‘Title’, ‘Reference to’, ‘Batch number’, ‘Location’, ‘Legal entity’, ‘Due date’, ‘Completed date’, and ‘Status’ columns. Click on the ‘Filter’ icon
On the filter bar, added the ‘Batch number’, ‘Location’, ‘Legal entity’, and ‘Status’ filter options
Select batch numbers from the dropdown and check the filtered results showing. All the filter options are working based on the selection
For a specific activity, click on the ‘Details’ option
It redirects to the ‘Activities’ tab of the guide
With the 'Luke Lenhart' (Manager), the added activities are shown in the created guide of 'Mia Vanclooster'. Click on the ‘Send email’ icon

With user ‘Luke Lenhart’ (Manager), on the 'My activities' screen, the activities showing in the ‘In progress’ status
With an 'External user', complete a few activities
With user ‘Luke Lenhart’ (Manager), the specific activities' status updated as ‘Completed’ and the ‘Completed date’ showing as ‘30/01/2024’ on the 'My activities' screen
Note: The dashboard tiles are also added for the 'All activities' and 'My activities' screens.
New feature 3: Added the functionality for Email notifications and Due date reminders for the 'Tasks'
On the 'Parameters' screen, added a new tab ‘Email’ with two sections - ‘Task email template’ and ‘Task due date email template’
Under the ‘Task email template’ tab, enter the details for the task email notification and click on the ‘Save’ button

With user ‘Ken Ewert’ (Manager), create a guide and click on the ‘Next’ button
Select the guide template and click on the ‘Done’ button
Select the email template and click on the ‘Add’ button

Under the ‘Tasks’ tab, check multiple tasks created and assigned to ‘Ken Ewert’
The multiple emails received according to the number of tasks assigned to user 'Ken Ewert'. Click on any of the email
The details of the email appears, click on the ‘View details’ button
It will redirect to the ‘Edit task’ screen and details of the task appears
With user ‘Sara Thomas’ (Admin), under the ‘Task due date email template’ tab, enter the details for the task due date email notification and click on the ‘Save’ button
With user ‘Ken Ewert’ (Manager), on the 'My tasks' screen, click on the cogwheel icon and select the ‘User settings’ option
Added the new dropdown field ‘Task email notification’
Select ‘3’ to receive notification 3 days before the due date and the newly added ‘Multiple task email’ toggle set to disabled. Click on the ‘Apply’ button
With the user ‘Sara Thomas’ (Admin), on the Scheduler screen, schedule a new job with the ‘User task email alert’ type, click on the ‘Add’ button
After the scheduled time, the status of the added scheduler job changed to ‘Finished’. Click on the ‘History’ option
On the 'Scheduler job history' screen, the message added
With the user ‘Ken Ewert’, the email was received three days before the task due date, for the task due on ‘1/07/2024’. Click on the ‘View details’ button
It redirected to the ‘Edit task’ screen and the details of the task showing
Enable the ‘Multiple task email’ toggle and click on the ‘Apply’ button
With the user ‘Sara Thomas’ (Admin), schedule a job with the ‘User task email alert’ type on the Scheduler screen
After the scheduled time, the status of the added scheduler job changed to ‘Finished’
With the user ‘Ken Ewert’, the email received for all the tasks due from ‘05/01/2024’ to ‘08/01/2024’. Click on the ‘View details’ button
It redirected to the ‘Edit task’ screen and the details of the task showing
