Release notes for Document Management 3.18
Below is an overview of changed and new features introduced in this release of the FourVision Web Apps.
Platform update:
.NET8 base line (upgrade your server settings). Updated the framework from .Net6 to .Net8
Integrated background runner to configure the environment connections in the Web App.
Integrated maintenance window and upgrade schedule. Implemented Maintenance settings for update schedule in the webapp. The system checks for new update every ‘Four hours’, if there is a new update available and if the user has not set ‘Maintenance schedule’, then the system automatically updates the latest version on the given ‘Date and Time’.
New features
- Implemented the functionality to 'Reassign' documents for workflow approval
- Introduced 'Hired' and 'Not hired' tabs on 'All applicants' and 'Applicants based on LE' screens
- Improvements done to allow manager to upload own documents in DMS manager view
Changes and bugfixes to existing features:
- Generic security updates, minor bug fixes and patches
- Implemented access restriction on 'Menus management' menus
- The ‘Menus management’ parent menu and all its child menus access can be controlled by the user role access.
- The 'Menu Management' menu and all its sub-menus cannot be deactivated or assigned to a different parent menu through ‘Menus management’.
- By default ‘Menus management’ menu access will be set to disable on all user roles except ‘System administrator’.

Platform update
Integrated background runner
Implemented environment settings for interface connection by introducing 'Interface settings' tab on Connection profiles screen in the webapp. Integrated background runner to configure the environment connections in the Web App.
'Background status' button removed from the 'Getting started' screen as the same is integrated in the app.
The newly added ‘INTERFACE SETTING’ tab visible in the screenshot below with the ‘Interface type’, ‘End-point URL’, ‘OData Paging’, ‘Client ID’, ‘Secret key’ and ‘Domain ID’ fields. In the ‘Domain ID’ and ‘Client ID’ field, prefilled value visible. If the ‘Interface type’ field set as ‘Disabled’, ‘Manual sync’ menu will not be visible in the Admin app. User will not be able to Manual sync the app in this case.

On the newly introduced 'Maintenance schedule' screen under 'General' menu' a. In the ‘Day of update’ dropdown field ‘--Please select--’ visible b. The ‘Time of update’ field ‘12:00 AM’ visible (According to the user’s time zone settings) c. The ‘Delay of update’ field, by default ‘Same week’ selected d. The date and time visible for the updates ‘Currently schedule would select the next window on 11/07/2024 00:00’ as per the settings on the screen e. Under the ‘Always send update notifications to’ field, ‘Enter email’ visible
Filled the email and the ‘Scheduled update’ section appears with ‘Description’ as ‘Update web app version 3.18.145.0 to 3.18.151’, ‘Date Time’ as ‘11/07/2024 10:30’ and ‘Status’ as ‘Waiting’
The scheduler automatically added as ‘App version update’ with status as ‘Waiting’
Login with user 'Sara Thomas' email. The email received and new version ‘3.18.151’ and scheduled ‘Date Time’ ‘11/07/2024 05:00:00 UTC’ visible
The scheduler status updated as ‘Finished’ for the ‘App version update’ scheduler
The ‘Schedule update’ section removed as the version updated on the mentioned date and time
New feature 1: Implemented the functionality to 'Reassign' documents for workflow approval
Login with user 'Claire Kennedy' as Admin. Category group and Categories assigned to employee and manager roles of users ‘Mia Vanclooster’ and ‘Phyllis Harris’
Login with user ‘Mia Vanclooster’ as Employee, upload and submit the document
Uploaded document assigned to ‘Phyllis Harris’ with Status as ‘Manager’
Login with user ‘Phyllis Harris’ as Manager, the newly added ‘Reassign’ option visible. Clicked on the ‘Reassign’ option
‘Reassign document to’ dialog box appeared with the ‘Assigned type’ and ‘Comment’ fields
Added the details and clicked on the 'Add' button
Particular document not visible to Phyllis Harris as ‘Document’ reassigned to worker ‘Claire Kennedy’
On the 'Documents for my approval' screen, the reassigned document visible. Clicked on the ‘Detail’ option
Note: a. The reassigned document will not be visible on 'All documents for approval' and 'All documents' screen as ‘Category’ not assigned to the user’s role
b. ‘Reassign’ option will not be visible on ‘Assignment type’ set as ‘Originator’ on the ‘Originator’ status
Login with user as ‘Claire Kennedy’ to email. The email notification of reassigned document received, clicked on the ‘Details’ button
Redirected to the ‘Document detail’ screen, all the successor steps visible. Clicked on the ‘Approve’ button, added and submitted the comment
Login with user ‘Phyllis Harris’ as Manager on 'All documents' screen, document visible with Status as ‘Approved’ and no reassign option visible
Login with user ‘Mia Vanclooster’ as Employee on My documents screen, document visible with Status as ‘Approved’ and no reassign option visible
Note: a. ‘Archived’ documents will not be reassigned, and ‘Active’ documents will be reassigned from ‘Active’ tab only from the Workers document screen
b. The user can view/access the reassigned document in the ‘Applicant Document for my approval’ screen even if the document’s category is not assigned to the user’s role, and an email/Application notification will be received.
c. Reassigned documents will be visible to the assignee in the ‘Document for my approval’ screen even if the document’s category is not assigned to the assignee’s role. Also, the assignee will get the email notification.
d. Reassigned documents of applicant will be visible to the assignee in the ‘Applicant documents for my approval’ screen even if the document’s category is not assigned to the assignee’s role. Also, the assignee will get the email notification.
e. ‘Reassign’ option for documents will not be available under ‘All versions’ and ‘Archived’ tabs and ‘Archived’ documents will not be reassigned from any screen.
f. ‘Reassign’ option will not be available in the employee app.
g. If the document’s status (Assignment type) is ‘Originator’, then the ‘Reassign’ option will not be available.
New feature 2: Introduced 'Hired' and 'Not hired' tabs on 'All applicants' and 'Applicants based on LE' screens
On the 'Parameters' screen, enabled the toggle ‘Enable to edit applicant details and view ‘Hire’ button’
On the 'Recruitment' parameters, the assigned ‘Recruitment manager role’ visible
For the user ‘Sara Thomas’, under the ‘Role access’ tab, the assigned roles and legal entities visible
Newly introduced tabs ‘Not hired’ and ‘Hired’ visible, under the ‘Not hired’ tab ‘No records available’ visible. Clicked on the ‘+New’ button
The dialog box ‘Add new applicant’ appeared, filled the details and clicked on the ‘Add’ button
Under the ‘Not hired’ tab, the newly added worker visible and clicked on the ‘Hired’ tab
Under the 'Hired’ tab, ‘No records available’ visible and clicked on the ‘Not hired’ tab
Under the 'Not hired' tab, for the added applicant ‘Henry PS Oscar’, clicked on the ‘Edit’ option
The details visible and clicked on the ‘Hire’ button. ‘Hired successfully!’ message will appear, and ‘Personnel number’ will be assigned

New feature 3: Improvements done to allow manager to upload own documents in DMS manager view
Under the ‘Role access’ tab, the newly added toggle ‘Upload own documents’ toggle visible with hover text. By default, the toggle set to disabled
Enabled the ‘Upload own documents’ toggle and clicked on 'Save' button
Login with user ‘Marrie Tally’ as Manager. On the 'All workers based on role' screen under 'Organisational data', clicked on the ‘Documents’ option for the worker ‘Marie Talley’
The ‘+New’ button visible with ‘Upload document’ and ‘Create document’ options. Clicked on the ‘Upload document’ option
‘Upload new document’ dialog box appeared, enter the required details and clicked on the ‘Upload and continue’ button
The status of the document as ‘Manager’ and assigned to worker ‘June Low’. Followed the process for workflow approval
