Release notes for Payroll Interface 3.4
Below is an overview of changes and new features introduced in this release of the FourVision Web App.
New features
Fixed the column headers on the overview screens with a large number of records
Improved the notification message if the worker limit is exceeded and added the notification message when the license validity expires
Improvements for showing 'Department name', 'Job description' and 'Position title' in the app
Added 'File name and extension' setup options for all 'Export file format' on the 'Edit export format' screen and implemented dynamic file naming for Export runners
Added a new field 'Schedule next run automatically' when the period is closed and the parameter for the configuration is set to 'On'
Added a menu and a tile for 'Active configurations' to the Manager app
Changes and bugfixes to existing features:
Generic security updates, minor bug fixes and patches
Improved the domain acceptance for the 'Help URL' on the 'Parameters' screen
Improvement icons for Import and export in the whole app
The maximum length for some fields is increased, affecting some tables
Resolved and improved the issue when executing the payroll run with the Worker's long name
Improved the logic for the Auto-created Payroll run same as the manually created Payroll run in reference to a run when using 'Rolling reference run'
Detailed release information:
New feature 1: Fixed the column headers on the overview screens with a large number of records

For the 'System Administrator, the received notifications for License expiration and when the limit of licensed workers exceeded
For the Managers and Employees, received notifications for License expiration and when the limit of licensed workers exceeded
New feature 3: Improvements for showing 'Department name', 'Job description' and 'Position title' in the app
For the department ‘Human Resources’, the department name showing as ‘Human Resources' with the search name set as ‘HR- Human Resources’
The ‘Job’ name is showing as ‘Training & Dev Consult’, ‘Job description’ set as ‘Job description-Training & Development Consultant' and ‘Job title’ set as ‘Job title- Training & Development Consultant’ respectively
For the position ID ‘000252', the 'Title' is ‘Training & Development Consultant Team Manager’ and the 'Description' is 'Des- Training & Development Consultant’ respectively
a. Details are shown on the blue bar, the ‘Worker name' as ‘Grace Sturman’, 'Personnel number' as ‘000032’, 'Position ID' and 'Position title' as ‘000252 (Training & Development Consultant Team Manager)’
b. 'Position ID' and 'Position title' shows as hover text
c. The value of the 'Department' field changed from 'Search name' to 'Name' and showing as ‘Human Resources’
d. Under the ‘Details’ tab, the field name is updated to ‘Job description’ and the value of the Job description shown
Added ‘Title’ field for all the Position screens showing the Position title
New feature 4: Added 'File name and extension' setup options for all 'Export file format' on the 'Edit export format' screen and implemented dynamic file naming for Export runners
The field ‘File name and extension’ is added for the ‘Universal XML’ export file type with increased length and the extensions are bracketed

Users can create a configuration with proper setup, generate 'Periods' and 'Source fields'
Activate all source fields and the new naming setup options added as ‘Update Labels’
Added Export definitions for all the export formats
The setup for the export definition ‘Universal text format export definition’
The setup for the export definition ‘Excel format export definition’
The setup for the export definition ‘Universal XML format export definition’
Users can create a payroll run using the same configuration
When the Status of the exports shows as ‘Ready’, The ‘Download’ button should be clicked for any export format. The downloaded file name will show according to the setup of the ‘Excel format’ export format
Note: The downloaded file name will show according to the setup done in the Export format for all the file types.
New feature 5: Added a new field 'Schedule next run automatically' when the period is closed and the parameter for the configuration is set to 'On'
a. On the 'Edit configuration' screen, under the 'General' tab, when ‘No’ is set under the ‘Close period when run is completed’ field, the periods are to be closed manually
Added ‘Schedule next run automatically’ toggle to the configurations (by default Disabled)
Enabled the toggle and ‘No’ set under the ‘Close period when the run is completed’ field
Under the ‘Periods’ tab, the ‘Auto schedule date time’ column shows and clicked on the ‘+New’ option to generate periods
The added field ‘Auto schedule date time’ field shows the same date as ‘First payment date’ and time with ‘12:00 hours
Create multiple periods, click on the ‘Edit’ option for the next/second open period
The ‘Update period’ dialog box appears and the ‘Auto schedule date time’ field shows editable. By clicking on the ‘Calendar’ icon, the date and time can be updated
The details get updated
Added a new payroll run using the same configuration and then ‘Flag completed’ the consumed payroll run
Clicked on the ‘Close’ option for the used period of the completed payroll run
The new payroll run will schedule automatically with the ‘Scheduled’ status
b. On the 'Edit configuration' screen, under the 'General' section, when ‘Yes’ is set under the ‘Close period when run is completed’ field, then the periods will be closed automatically
Enable the ‘Schedule next run automatically’ toggle and ‘Yes’ set under the ‘Close period when the run is completed’ field
Created multiple periods and set the date/time for the next auto-schedule run for the next open period
Added a new payroll run using the same configuration and ‘Flag completed’ the payroll run
The Status is updated as ‘Completed’ and the next run is scheduled automatically according to the next open period
The period is updated with the ‘Closed’ status on completing the payroll run created using this period. The next run is scheduled automatically according to the date and time of the next open period
The ‘Scheduled run’ created with the ‘Waiting’ status automatically
c. If the user tries to 'Close' the period and there is no completed run for the period, there is a run but not with the state 'Completed', then the validation message appears
The payroll run with ‘Processing’ Status for the ‘2023_001’ period of the ‘New configuration’ configuration
Clicked on the ‘Close’ option for the ‘2023_001’ period

New feature 6: Added a menu and a tile for 'Active configurations' to the Manager app
Added ‘Active configurations’ menu in the Manager app and tile with the counter on the dashboard
The ‘Active configurations’ screen added with ‘Name’, ‘Open period’, ‘Period start date’, ‘Period end date’, ‘Default payment date’, ‘Auto close period’, ‘Auto schedule run’ and ‘Scheduled run date’ columns
Clicking on any of the configuration names will redirect to the ‘Payroll runs’ screen, filtered by the configuration
All the payroll runs will be visible after 'Resetting the filter'
Schedule a payroll run manually and it will reflect on the ‘Active configurations’ screen
Update the date time of the ‘Scheduled’ payroll run and it will reflect on the ‘Active configurations’ screen
The automatically scheduled payroll run will also reflect on the ‘Active configurations’ screen
Flag completed the running payroll run and the next payroll run will schedule automatically according to the next open period date time
Note: The new menu 'Active configurations' will be by default disabled on all the roles except 'System Administrator'.
