Project tasks can be defined and then be linked to project tasks groups in individual projects and can be assigned so workers so workers can register time against the tasks.
Project tasks list page
In the project tasks list page you can:
- create new project tasks
- edit project tasks
- delete project tasks (if not in use in projects)
Create project tasks
You can create project tasks and make them active, so they can be used in projects. project tasks can be grouped into Task groups, any kind of logical grouping that serves your purpose. Example: group IT project tasks like pre-sales, sales demo, statement of work into the Task group "Sales" and group functional requirement document, programming, testing, deliver software into the Task group "Development".
In Admin ap > Timesheet setup > Project tasks you can create project tasks by click the +new button on the top right: a dialog screen appears:
Fill in the Task ID (unique ID of the task) + short name + Name and switch the task to Active if you want to use it in Task groups and projects:
Click Add to create the project task: it will become available in the Project task list:
Not activated Project tasks will show under the Non-active tab:
Edit project tasks
via the 3 dots you can select Edit, to edit the project task:
The edit screen will open: here you can edit and then SAVE (screen stays open) or Save and close (return to the lsit page).
Delete a Project task
Via the 3 dots in the Project task list page you can delete a projec task, as long as it is not assigned to any project: select Delete and confirm if you want to continue and delete the task:
If you click Delete, the task will be removed from the task list page:
When you try to remove a Project task that is linked to a project(used in a project), then you will get an error and cannot remove it:
Use of Project tasks in projects
Linking Task groups to Projects and linking Project tasks to Task groups has to be done in the Projects setup screen.. First you add a Task group:
Then you add Project tasks to the Task group in a Project: select the Task group in the Project and in the Project Task part of the screen click ADD or ASSIGN:
ADD task option:
This option will create a new project task specifically for this project in the selected task group after you click ADD:
Note: the task you created from scratch in the project, will also be added to the Project tasks list page (the Project tasks setup).
ASSIGN task option
This option will allow you to select one or more project Tasks from the Project task list created in the Project tasks setup screen, if the task is active:
